An Advance Ship Notice (ASN) is an electronic document transmitted by a vendor to Amazon before the shipment is expected to arrive at an Amazon Fulfillment Center (FC). It contains critical information Amazon's receiving systems need to process an incoming shipment, such as: carrier details, tracking number, PO references, SKU quantities, carton identifiers, and expected delivery timing.

Amazon relies on a heavily automated system that relies on ASN data to map and count inventory products without extensive manual intervention. When the ASN is accurate, receiving is faster and updated correctly into the system. When the ASN is missing or inaccurate, Amazon's system cannot auto-receive the shipment. The result is manual processing, delayed inventory availability, and the ASN accuracy chargeback.

In simpler terms, an ASN Accuracy Chargeback is triggered when Amazon receives no ASN/ inaccurate ASN via EDI. It appears on the Operational Performance Dashboard in Vendor Central under the ASN Accuracy metric, and the associated monetary penalty is charged.

    How Amazon Calculates the Penalty

Amazon's ASN accuracy chargeback uses a tiered penalty structure based on your compliance rate, calculated as the percentage of shipments with accurate, timely ASNs over a rolling period:

    ASN Accuracy Compliance Rate

    Penalty Rate

    Example: $50,000 PO Value

    Above 95% (target)

    2% of product cost

    $1,000

    70% – 95%

    4% of product cost

    $2,000

    Below 70%

    6% of product cost

    $3,000

For vendors with high-volume accounts, these penalties compound quickly. A vendor with $500,000 in monthly PO value operating at 75% ASN accuracy would face a monthly chargeback of $20,000 before any other deductions even come in. Sustaining compliance above 95% is not just a best practice; it’s a significant financial imperative.

What Triggers An ASN Accuracy Chargeback?

ASN Chargebacks have an umbrella of trigger points. Here are the top 5 situations that trigger it:

    1. No ASN Submitted - The most straightforward failure: a shipment arrives at an Amazon FC with no ASN on file. This can happen because the EDI transmission failed. After all, the ASN was submitted through Vendor Central when the shipment required EDI, or because the ASN was simply not sent before the shipment departed.

How to avoid: Implement an ASN transmission confirmation step in your outbound fulfillment process.

    2. ASN Submitted Late (After Shipment Arrival) - An ASN that is transmitted after the shipment arrives at the FC is treated by Amazon as non-compliant. Amazon requires the ASN to be in place before the shipment, and when this happens it forces manual processing.

How to avoid: Transmit the ASN at the point of carrier pickup, not when the truck is already en route. For time-sensitive shipments, build the ASN transmission into your shipping label and BOL generation process so it cannot be skipped.

    3. Unit Count Mismatch - The quantity in the ASN doesn't match the quantity confirmed on the PO or the quantity physically shipped. This is an overlap with the shortage claim, creating both a shortage deduction and an ASN chargeback that needs to be disputed by the retailer.

How to avoid: Run a pre-shipment ASN audit - Confirm that the ASN quantity equals the quantity loaded on the outbound shipment and equals the quantity confirmed on the PO.

    4. Duplicate ASN Transmission - Submitting the same ASN twice once via EDI 856 and once through Vendor Central, creates a conflicting record in Amazon's system. A duplicate creates ambiguity in the auto-receive process and triggers a chargeback.

How to avoid: Choose one transmission method ; EDI 856 or Vendor Central and use it exclusively. Document which method is used for each carrier type and ensure your team does not attempt to 'confirm' an already-submitted ASN through the other channel.

FC Receiving Errors (Invalid Chargebacks) - Not every ASN accuracy chargeback reflects a vendor error. Amazon's receiving process can generate false ASN accuracy chargebacks when an FC associate miscounts a carton or when an FC-level receiving system error fails to locate the ASN record correctly.

How to Avoid: Amazon acknowledges this failure mode and has criteria to proactively waive chargebacks generated by identifiable FC errors. However, some of these invalid chargebacks slip through and require a vendor dispute.

Other less common triggers include unit of measure mismatches, PRO/BOL number errors, missing ARNs on collect shipments, and expiration date issues for date-coded products. If you're encountering an ASN accuracy chargeback not covered above, check your Operational Performance Dashboard sub-type field for the specific failure category.

ASN Chargebacks Cutting Into Your Amazon Margins?

ASN accuracy chargebacks are one of the most recoverable chargeback categories on Amazon Vendor Central but only if you have the right dispute process in place and the operational documentation to support it. The vendors who consistently operate above the 95% compliance threshold combine strong EDI hygiene with a systematic dispute workflow that catches invalid chargebacks before the window closes.

iNymbus automates the dispute process for Amazon Vendor Central chargebacks, including ASN accuracy, shortage claims, and other compliance fees. Our RPA technology automatically pulls transaction data, assembles documentation, and files disputes within Amazon's 30-day window, eliminating the need for manual intervention.
